What You Will Do

The Administrative Assistant 3 must work cooperatively with staff scientists, students, post-docs, affiliates, and visitors. Serve as a resource to interpret and provide information on Laboratory policies and procedures. The candidate will be responsible processing and tracking technical release forms; composing, editing and proofreading of routine and non-routine correspondence, reports, and papers; mail distribution; purchase requests and purchase card orders; calendar management; answering phones; time and effort, travel arrangements and reimbursements, and visitor paperwork, as well as maintaining hard copy and/or electronic files and records. Professional discretion is a must, with proven skills to exercise initiative and creativity in unfamiliar situations.

What You Need

Minimum Job Requirements:

  • Experience and demonstrated competence in secretarial and administrative skills.

  • Proficient in the preparation and formatting of correspondence, reports, and/or presentations.

  • Experience working both independently and in a team-based environment.

  • Demonstrated experience in making independent decisions and using good judgment in both procedural and operational task areas.

  • Excellent oral and written communication skills, including proofreading, grammar, spelling, punctuation, accuracy, attention to detail, and excellent interpersonal skills.

  • Proven experience in organizing and prioritizing tasks, assuming responsibility for projects and action items from inception to completion.

  • Intermediate or above knowledge of and experience in the use of standard office software such as Microsoft Word, Excel, Outlook, and PowerPoint.

  • Excellent record of dependability, availability, attendance, and punctuality.

  • Ability to work with sensitive information.

  • Demonstrated ability to adhere to timelines, flexibility, and adaptability, maintaining a professional atmosphere under pressure with multiple deadlines.

Desired Skills:

  • Experience with performing routine purchases for an organization; LANL Designated Procurement Representative designation is a plus.

  • Knowledge and/or experience with LANL's security procedures, administrative policies and procedures, and a working knowledge of Laboratory structure.

  • Experience in LANL-specific business systems such as Concur, iProcurement, and Oracle Time and Labor.

  • Experience working with classified matter.

Education: Position typically requires two to four years of related experience or an equivalent combination of education and experience. Additional training, certification, and/or education desirable.

Additional Details:

No Clearance: Position does not require a security clearance. Selected candidates will be subject to drug testing and other pre-employment background checks.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing.

Term position:Regular-status Laboratory employees applying for term-status positions may retain regular status with approval of the cognizant Principle Associate Director.
