What You Will Do

We are looking for energetic, customer-focused administrative assistants to join the Materials Physics & Applications Division. There are two openings, one in each of two groups within the Materials Physics & Applications Division (MPA). The National High Magnetic Field Laboratory – Pulsed Field Facility (MPA-MAG) and the Materials Synthesis and Integrated Devices Group (MPA-11) are comprised of scientists, engineers, technologists, postdocs and students, who support a broad portfolio of programs under LANL’s discovery science and national security missions. These positions require motivated performers who are capable of acting independently, can prioritize multiple simultaneous tasks, can quickly change focus, and are comfortable with a broadly defined scope of work within our dynamic technical organizations.

Specific Duties of the position include but are not limited to the following:

  • Use independent judgment within standard policies and procedures to manage conflicting priorities, perform complex administrative duties, manage workflow, manage complex calendars and assure quality administrative support.

  • Act as a knowledgeable resource to individuals, both internal and external to the Laboratory.

  • Assume responsibility with minimal supervision, demonstrating initiative, professional attitude, tact, and discretion with confidential/sensitive matters.

  • Interact effectively and professionally with all levels of staff, administrators, and management within MPA, the Laboratory, and external organizations.

  • Assist with action tracking, records management, procurement, and training coordination.

  • Coordinate the group’s visitor program.

  • Coordinate activities, conferences, meetings, and schedules with external stakeholder organizations (e.g. National High Magnetic Field Laboratory, Universities, Industrial Partners).

What You Need

Minimum Job Requirements :

  • Demonstrated professional level experience and proven competence in administrative support including solid skills in organizing, prioritizing, and following through to completion on multiple tasks.

  • Demonstrated ability to work effectively under pressure of deadlines, interruptions and changing priorities and following multiple tasks to completion.

  • Expert computer skills in the MS Office suite (Word, Excel, PowerPoint), SharePoint, Outlook, and demonstrated ability to quickly learn Lab business systems (Oracle, FVTS, Concur, etc.).

  • Demonstrated high-level attention to detail and accuracy.

  • Excellent communication and customer service skills (both verbal and written), demonstrating the ability to interact effectively with all levels of internal and external personnel.

  • Demonstrated experience making independent decisions and researching, analyzing, and resolving complex problems both independently and as a team member.

  • Ability to work with business-sensitive information.

  • Excellent record of dependability, availability, attendance, and punctuality.

  • Five or more years of related experience, or an equivalent combination of education and experience.

  • A resume with a detailed cover letter addressing each of the Qualification Requirements is required to be considered.

Desired Skills:

  • Demonstrated ability to build effective working relationships and networks with co-workers and support staff across multiple organizations.

  • Designated Procurement Representative (DPR) experience.

  • Experience in the use of Laboratory business systems, i.e. Outlook calendar management, Oracle Time & Labor, domestic and foreign travel in the Concur or legacy travel system, iProcurement, iExpenses, Oracle HR, and the FVTS system.

  • Expert-level knowledge of the Laboratory's organizations and administrative policies and procedures.

  • Demonstrated experience with the process of bringing visitors to LANL, including non-US citizens.

  • Experience related to use of the LANL uTrain system.

  • Ability to obtain a Q clearance, which normally requires U.S. citizenship.

Additional Details:

No Clearance: Position does not require a security clearance. Selected candidates will be subject to drug testing and other pre-employment background checks.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
