What You Will Do
The Neutron Science and Technology Group (P-23) of the Physics Division is seeking a professional, efficient, reliable, experienced and organized Administrative Assistant 4 to provide a wide variety of office related activities to support the group. Neutron Science and Technology (P-23) is a diverse group of experimental physicists, engineers, technicians, and students. The selected candidate will be the primary interface to the group office: answering group phones, providing administrative support to the managers and members of the group and serving as the point of contact for students, visitors and affiliates. The candidate is expected to work with minimal supervision and use independent judgement to respond to requests for information.The successful candidate will be responsible for creating a professional, efficient and positive experience for staff, students and visitors.
The selected candidate will have a variety of office related activities including but not limited to the following:
Manage calendars for the Group Managers and other members of the group as requested.
Serve as the primary timekeeper for the group.
Prepare domestic and foreign travel arrangements.
Manage incoming and outgoing correspondence/documents/signature items.
Serve as a records manager for the group (maintain electronic and hardcopy files)
Order and track supplies for the group, process purchase requests
Execute complex administrative and office-related functions and activities requiring sound judgement
Utilize a high degree of initiative
What You Need
Minimum Job Requirements:
Experience and proven competence performing high-level administrative support and office management.
Computer skills in MS Office Suite (Word, Excel, Outlook, Sharepoint, etc.).
Excellent record of professional behavior, dependability, availability, and punctuality
Demonstrated willingness to provide support in a busy, dynamic office environment and to assist with special projects wherever needed.
Demonstrated ability to exercise tact, discretion and use good judgment in dealing with confidential and sensitive matters.
Excellent oral, written, and interpersonal skills.
Five or more years of related experience, or an equivalent combination of education and experience.
Demonstrated high level attention to detail and accuracy
Demonstrated strong interpersonal skills providing excellent and professional customer service to individuals at all levels
Ability to support and coordinate special events and meetings
Ability to obtain Q-clearance, which normally requires U.S. Citizenship
Demonstrated experience with the process and systems for hosting external visitors, including foreign national visitors.
Experience making decisions and resolving problems both independently and as a team member, using judgment, creativity, flexibility and initiative to determine the approach or action to take in non-routine situations.
Demonstrated experience researching, analyzing, and resolving problems and issues both independently and as a team member.
Demonstrated ability to build effective working relationships and interact with all levels of management including high level external stakeholders and sponsors.
Ability to serve as a resource for staff regarding established laboratory & group administrative policies and procedures
Experience serving as a key/core custodian.
Knowledge of Labwide systems (Oracle, Concur, Time and Labor, FVTS, Procurement, etc.).
