The Workplace Experience - Furniture, Amenities, and Space Team (WE-FAST) is seeking an energetic, organized, and customer-focused Operations Specialist to support our team. This role is ideal for someone who thrives in a fast-paced environment, enjoys coordinating details, and takes pride in delivering excellent service. The Operations Specialist will play a key role in supporting space management operations, coordinating institutional moves, and assisting with furniture procurement and large-scale project support. This is a hands-on position that requires initiative, strong organizational skills, and the ability to work both independently and collaboratively.
In this role, you will conduct space management walk-downs, maintain accurate database records in partnership with the Archibus data team, and support space dashboard reporting. You will assist with coordinating moves following the WE-FAST process flow, provide direct support to project leaders on large project initiatives, and help manage smaller furniture purchases and presentations. One of the support positions is intended to function as an operational extension of the Space Management Program deployed to the Associate Laboratory Director for Weapons Production (ALDWP). This position will enable successful project delivery while allowing ALDWP Program Management to remain focused on strategy, prioritization, and leadership coordination.
Job Duties:
Space Management Support:
- Organize and conduct weekly space walk-downs.
- Assist with space planning logistics such as seat counts, layout verification, and basic measurements during walk-downs.
- Update and maintain space reports in coordination with the Archibus data team.
- Maintain operational tracking tools (spreadsheets, schedules, action logs) to support space dashboards, move coordination, and project visibility.
- Support cross-functional coordination by tracking action items, following up on open issues, and helping drive closure across multiple stakeholders.
- Coordinate institutional moves following WE-FAST process flow; validating field conditions prior to execution, including confirming furniture counts, seating capacity, drawings versus actual layout, and basic coordination with institutional partners (Facilities, Engineering, IT/network, custodial, etc.) as needed.
- Assist project leaders in move planning and execution.
- Ensure clear communication and customer-focused service throughout move processes.
- Provide support on large-scale furniture and space projects.
- Assist with small furniture purchases and procurement coordination.
- Support preparation of project presentations and related materials.
What You Need
Minimum Job Requirements:
Operational Support: Proven experience in a successful administrative or operational support role. Experience providing high-level customer service with a pro-active, can-do attitude. Proven ability to effectively communicate complex information across diverse audiences, coupled with exceptional interpersonal, written communication and verbal skills for interaction with customers, staff, senior management, and stakeholders.
Knowledge & Expertise: Serve as an embedded operations resource, proactively identifying risks, surfacing issues early, and supporting continuous improvement of space and move processes.
Communication: Demonstrated ability to resolve problems independently and as part of a team. Demonstrated ability to adjust to changing priorities, proactively communicate updates to customers, and maintain professionalism under pressure.
Organization & Time Management: Strong organizational skills and attention to detail. Demonstrated ability to take initiative, independently prioritize and manage multiple concurrent responsibilities, and contribute meaningfully to overall team goals.
Education/Experience: Position requires an Associate's Degree and 4 years of related experience; or, an equivalent combination of education and experience directly related to the occupation.
Desired Qualifications:
- Ability to read and interpret floor plans.
- Experience using AutoCAD.
- Exposure to or experience in interior design or space planning.
Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
Position Commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.
*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular Position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
