What You Will Do
LocatedThe Plutonium Infrastructure Engineering Division (PIE-DO) at Los Alamos National Laboratory is seeking a motivated and detail-oriented Professional Staff Assistant 1 to join a dynamic office that supports a wide range of internal and external customers, including managers, engineers, trainers, administrators, and other professionals across the directorate.

Reporting directly to the PIE-DO Division Leader, the successful candidate will bring strong organizational skills, a customer-focused mindset, and a drive to contribute to national security through professional and administrative excellence. As a Professional Staff Assistant, you will:
  • Provide administrative and program support for specialized functions, programs, and projects, applying established principles, theories, and techniques.
  • Research and assemble data for assignments of moderate complexity, analyzing information and identifying key factors.
  • Serve as a resource to staff, ensuring consistent application of processes, procedures, and guidelines.
  • Coordinate logistics and scheduling for business, operational, and programmatic meetings or conferences.
  • Manage inventory and property control, serving as a salvage custodian and property management representative. Assist with business initiatives, including analysis, design, and implementation to meet organizational objectives.
  • Track and report progress on goals, providing input on policies, procedures, and process improvements.
  • Handle sensitive and classified information in compliance with established requirements and quality standards.
  • Coordinate domestic and international travel, process reimbursements, and act as a timekeeper for multiple groups.
  • Escort visitors and personnel without full clearance when necessary.
  • Procurement Representative - Maintain related records and documentation.
  • Primary Point of Contact - Act as a liaison for internal offices and external agencies.
  • Onboarding Resource - Support new staff and engineers with administrative processes, including badging, clearance, Laboratory systems, and standard software tools.

What You Need

Minimum Job Requirements:


Administrative Support

  • Proven experience delivering high-level administrative support in a fast-paced environment, with working knowledge of complex functions such as travel coordination, procurement, calendar management, and meeting logistics.
  • Experienced in general office management and administrative services.
  • Advanced ability to prepare, format, and edit professional correspondence, reports, and presentations.
  • Proven ability to effectively communicate oral and written, with proficiency in proofreading, grammar, spelling, punctuation, and attention to detail.
  • Demonstrated ability to handle sensitive information and/or classified material with discretion and accuracy.

Business Systems

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), with the ability to independently interpret data and produce professional, high-quality documents, spreadsheets, and presentations.

Communication

  • Proven ability to build strong relationships and collaborate effectively with colleagues, administrators, and stakeholders across organizational boundaries, while maintaining a professional, customer-focused, and approachable demeanor.

Personal Leadership

  • Strong ability to work independently while effectively managing frequent interruptions, shifting priorities, and complex assignments in a fast-paced, dynamic environment.
  • Strong organizational skills with the ability to prioritize, manage multiple tasks, and meet strict deadlines while maintaining high standards of quality.

Education/Experience: Position requires a Bachelor's Degree and 2 years related experience; or, an equivalent combination of education and experience directly related to the occupation.
Undergraduate coursework may be expected at this level.

Desired Qualifications:


  • Experience and in-depth knowledge of Laboratory business systems, such as Time & Labor, Foreign Travel, Concur, Procurement, and Oracle HR.
  • Familiarity with the Laboratory's organizational structure, administrative policies, and procedures.
  • Ability to serve as a Designated Procurement Representative (DPR).
  • Active Q Clearance.
  • Knowledge of, or prior experience working with, the Plutonium Infrastructure Engineering Division (PIE-DO).

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
