What You Will Do

The Process Maintenance & Decontamination Services Group (PMDS) has an immediate opening for a Professional Staff Assistant 2 (PSA-2) in the Process Maintenance & Decontamination Services group PMDS. The Group Office is seeking an energetic staff and customer-focused individual to provide high-level administrative support. The successful candidate will report to the Group Leader as well as the Staff Operations Manager and will act as an interface between ALDWP-Maintenance Division and other LANL organizations and external agencies. This position requires initiative, professionalism, discretion, and flexibility. The selected candidate will need to be an excellent problem-solver, anticipate challenges or obstacles, and tactfully resolve them with minimal supervision. As the lead administrator for PMDS, this position is expected to set examples of exceptional management of all administrative operations. This position requires a motivated performer and the ability to independently establish priorities for work completion according to deadlines, commitments, and schedules. The PSA-2 will also be expected to lead, manage, and complete special projects for the division.

Some example job duties include:
  • Maintain a professional office atmosphere and assume responsibility with minimal supervision, demonstrating initiative, versatility, accuracy, and discretion in sensitive matters.
  • Lead PMDS administrative activities by recognizing, researching, and implementing business process improvements; leading the administrative support team in business initiatives; and establishing administrative systems and processes.
  • Provide administrative leadership and mentorship to the group administrative staff.
  • Conduct research and assemble data for assigned specialized reports, presentations, and/or documents.
  • Compose, prepare, edit routine and non-routine correspondence and make decisions regarding appropriate distribution.
  • Plan and coordinate logistics for meetings both large and small, including preparation of audiovisual equipment and materials.
  • Provide expert calendar management
  • Serve as point of contact and liaison with customers and sponsors as well as with senior management offices and personnel.
  • Manage commitments for the TA55-PMDS Group Leader to ensure timely progress toward deliverables while allowing time for planning.
  • Work in a team environment that requires close cooperation, adaptability, taking initiative in completing tasks, and willingness to provide support wherever needed.
  • Aid with hiring process execution and hiring package preparations.
  • Assist with special projects as requested.

What You Need

Minimum Job Requirements:
  • Proven competence in providing executive-level administrative assistance, office management, and administrative leadership utilizing tact, diplomacy and discretion in dealing with sensitive and in-confidence information/matters.
  • Demonstrated leadership, mentoring, and teaming skills.
  • Advanced experience with solving problems, developing solutions, and innovating business practices to ensure customer satisfaction.
  • Demonstrated ability to work independently while maintaining excellent quality in daily operational work, as well as the fine-tuned skills of organizing, prioritizing, and following through to completion of multiple projects with frequent interruptions under strict deadlines and changing priorities.
  • Excellent communication skills (interpersonal, verbal, and written) while interacting effectively with all levels of employees and managers, including managers at the ALD level and above, as well as officials from external organizations.
  • Knowledge and in-depth understanding of Laboratory organizational structures, operations, policies, administrative systems, and business systems including MS Office Suite (Work, Excel, PowerPoint), Outlook, Oracle Time & Labor, Concur for domestic travel.
  • Knowledge of financial management systems to prepare budget reports
  • Ability to track budgets, costs and forecast labor for the group
  • Experience with developing metrics reports for the organization
  • Excellent record of dependability, availability, attendance, and punctuality.
Education/Experience: Position requires a bachelor's degree and 5 years related experience or an equivalent combination of education and experience directly related to the occupation.


Desired Qualifications:
  • Familiarity and proficiency with Laboratory-wide business systems including, but not limited to, Oracle, Foreign Visits Tracking System, Concur, Ariba/purchase card procurements, badging and clearance transfer systems, SharePoint, and MS Teams. Thorough and in-depth knowledge and understanding of Laboratory organizational structures, operations, and policies and procedures.
  • Proficiency with SharePoint.
  • Familiarity with Utrain
  • Ability to perform quality assurance reviews of work packages for maintenance work
  • Working experience with CFO budget analyst
  • Working experience in a maintenance organization
  • Working experience with the Issues Management system.
  • Designated Procurement Representative (DPR) experience.
  • Active DOE Q Clearance.

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Work Schedule: This is a full-time onsite position and expected to be weekdays.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
