Los Alamos National Laboratory Administrative Assistant 4 in Los Alamos, New Mexico

What You Will Do

Are you an experienced administrative assistant looking to play an integral role to the success of a group? Do you have excellent communication skills and customer service? Los Alamos National Laboratory’s (LANL) Communication Arts and Services group works with customers throughout the Laboratory, including senior managers and staff, toplan, develop, and produce a range of communications products and is looking for an experienced administrative assistant. In this role, you will serve as the first face for customers and visitors to CEA-CAS: greeting, welcoming, and directing them appropriately; directing customers to the correct resource; maintaining building security; informing customers by answering or referring inquiries; answering the telephone and serving as primary scheduler for all meeting rooms; scheduling and hosting meetings through online tools; and much more—all of which influences strategic objectives that result in excellence in communications. This job function will support a large group with essential items such as purchasing; time and labor; travel; tracking projects through reports; managing an online recharge system; and helping with other administrative tasks.

What You Need

Minimum Job Requirements:

Administrative Support: Expert-level experience providing high-level administrative support in a busy office environment requiring office management including safety, security, correspondence, records management, travel, time and effort, complex calendar management, meeting scheduling and logistics, and procurement. Demonstrated ability with completing action items and tracking them to closure. Ability to learn, understand, and follow Lab policy. Experience solving problems, developing and implementing solutions, and innovating business practices to ensure customer satisfaction at all levels. A self-starter that takes initiative and is confident in administrative abilities.

Personal Leadership: Demonstrated ability to calmly manage frequent interruptions and changing priorities; complete assignments without established procedures; and be available, dependable, and punctual. Utilization of tact, diplomacy and discretion in dealing with sensitive and in-confidence information.

Organization and Time Management: Demonstrated ability to organize, prioritize and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities in a dynamic and fluid work environment. Experience working with sensitive, personnel-related information. Demonstrated record of dependability, availability, attendance, and punctuality.

Communication: Demonstrated ability to network and work effectively with key contacts outside own area of expertise. Excellent interpersonal, verbal, and written communication skills while interacting effectively with people throughout the organization hierarchy and in partnership with internal support organizations. Grammatical proficiency, formatting, and editing capabilities expected at this level.

Business Systems: Expert-level knowledge and experience with the Microsoft Office Suite (particularly with Outlook, Excel, and Word; formatting skills desired), Adobe PDF, and with Oracle business systems and Concur for travel. Ability to independently interpret data and information.

Education/Experience: Position requires a minimum of 5 years related experience; or, an equivalent combination of education and experience.

Clearance: Ability to obtain and maintain a “Q” clearance, which normally requires US citizenship.

Desired Qualifications:

Additional Education and Training: Additional business school training and/or bachelor’s degree preferred.

Business Systems: Microsoft Word formatting and Adobe PDF fillable forms; experience serving as a LANL Professional Buyer.

Lab Knowledge: Familiarity with the Laboratory and policies or previous experience at the Laboratory a plus.

Location: This position will be physically located in Los Alamos, NM.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2 . Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements

  • for access to classified matter. This position requires a Q clearance which requires US Citizenship except in extremely rare circumstances. Dependent upon position, additional authorization to access nuclear weapons information may be required that may or may not be available to dual citizens depending upon the circumstances.

  • Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. SeeDOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
