Los Alamos National Laboratory Administrative Assistant 4 in Los Alamos, New Mexico

What You Will Do

The Nuclear Engineering and Nonproliferation (NEN) Division is seeking an energetic, customer-focused Administrative Assistant to provide support to management and staff of two technical groups that include scientists, engineers, professionals, technicians, postdoctoral associates, and students.This position supports two groups (Advanced Nuclear Technology, NEN-2, and Systems Design and Analysis, NEN-5) and reports to the NEN-2 Group Leader.The incumbent must be able to team acrossNEN Division’s support staff and other LANL organizations to fulfill our mission.

The successful candidate will have a customer-focused approach to administrative responsibilities and will work cooperatively with staff and peers in a dynamic, divers office environment. The incumbent will perform complex administrative functions requiring considerable judgement, a high degree of initiative, and the ability to make Independent judgements within the areas of responsibility. This position will provide administrative support that includes, but is not limited to:

  • Providing administrative support to two technical groups.

  • Keeping group management and staff abreast of policy and procedure in administrative matters (e.g., travel, procurement, time and labor, etc.).

  • Tracking, reviewing, prioritizing, and/or completing tasks and action items utilizing established or self-developed databases and/or systems.

  • Managing calendars for multiple Group and Deputy Group Leaders and three conference rooms, including related decision-making and prioritization.

  • Generating and tracking a variety of internal and external forms, reports, and correspondence, typically requiring minimal supervision and often without established instruction.

  • Serving as a primarytimekeeper for two groups, backup timekeeper across the division, andserves as a key/core custodian.

  • Serving as a Designated Procurement Representative (DPR), assisting with purchasing across the division.

  • Serve as a primary and/or backup to classified matter custodian.

  • Managing scheduling and audio/visual capabilities of three conference rooms utilized by organizations across the Laboratory.

What You Need

Minimum Job Requirements:

  • Extensive experience and proven proficiency providing a wide variety of administrative support in a large office environment with proven success of adaptability, flexibility, cooperation and willingness to provide support wherever needed.

  • Demonstrated excellence in building effective working relationships and networks,especially with support staff in multiple organizationsand interacting professionally with all levels of employees, managers, external customers, and peers.

  • Proven attention to detail and ability to use diverse sets of information to make decisions and provide appropriate levels of support.

  • Proven success working effectively and calmly under pressure of multiple deadlines, frequent interruptions, and changing priorities while maintaining a high level of accuracy and attention to detail.

  • Demonstrated ability to effectively identify, prioritize and track deadlines and commitments.

  • Demonstrated experiencemaking decisions and resolving complex problems both independently and as a team member using judgment and creativity to determine the approach or action to take in non-routine situations.

  • Excellent verbal and written communication skills, includingproficiency with editing documents with significant responsibility for content, grammar, spelling, punctuation, consistency, accuracy, and formatting.

  • Experience with domestic travel arrangements and reimbursements.

  • Experience managing multiple, complex calendars for managers and resources.

  • An excellent record of dependability and taking initiative.

  • Intermediateknowledge of standard office software including Microsoft Word, Excel, Outlook, and PowerPoint.

  • Ability to obtain a DOE Q Clearance - which typically requires U.S. Citizenship

Desired Skills

  • Experience with LANL Lab-wide systems (Oracle, Time and Labor, Concur, Foreign Travel).

  • Experience with procurement/DPR responsibilities (iProcurement, P-card).

  • Experience with foreign travel arrangements and reimbursements.

  • Experience with LANL’s foreign national hosting requirements.

  • Experience as a classified matter custodian.

  • Familiarity with LANL’s Lock and Key Program, including experience as a key/core custodian.

  • Experience organizing meetings on behalf of manager.

  • Experience with modern audio/visual equipment.

  • Active DOE "Q" Clearance.

Education: Position typically requires five or more years of related experience, or an equivalent combination of education and experience.
