Los Alamos National Laboratory Administrative Assistant 4 in Los Alamos, New Mexico

What You Will Do

Come be a part of the Integrated Nuclear Program Office (INP) team as an Administrative Assistant, where you will report to the Project-Program Director. You will serve as the point of contact for INP-DO and will act as an interface between the Associate Lab Directorate for Weapons Production (ALDWP), Actinide Operations (AO) and its entities, as well as other LANL organizations and external agencies. You will be responsible for integrating the planning, execution, and reporting for LANL’s Pit Production efforts, surplus plutonium disposition activities, the Material Reuse and Recycle (MR&R) program, and other programs of national significance.

Minimum Job Requirements:

Administrative Support:

Advanced-level experience providing high-level administrative support in a busy office environment requiring time keeping, travel, procurement, complex calendar management, and meeting scheduling/logistics. Experience with complex problem solving, developing and implementing solutions, and innovating business practices to ensure customer satisfaction.

Business Systems:

Expert knowledge and experience with Microsoft Suite and Outlook is required. Knowledge of Oracle Time & Labor and Concur for domestic and foreign travel is preferred but not required. Independently interpret complex data and information to produce high-level correspondence, Excel spreadsheets, and PowerPoint presentations with the expectation these products will be broadcast to a wide audience.

Communication:

Excellent interpersonal, verbal and written communication skills while interacting effectively with all levels of managers and employees as well as officials from external organizations. Grammatical proficiency, formatting, and editing capabilities required at this level.

Personal Leadership:

Demonstrated ability to calmly manage frequent interruptions and changing priorities; complete assignments with, or without established procedures; be available, dependable, and punctual; and act as an informal team leader and/or facilitator when needed. Maintain a professional office atmosphere; demonstrate initiative, versatility, accuracy, and tact.

Education and Experience: Position requires a High School Diploma and 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation. At this level, additional training, certification, and/or education may be desirable.

Desired Qualifications:

Procurement :

Designated Procurement Representative (DPR) and AdSTR experience.

ALDWP/TA55 experience:

Knowledge of ALDWP structure, including TA-55 Access Requirements and 551’s; organizing and managing high-level visits and meetings. Experience using SharePoint as well as experience with tracking action items and deliverables, appropriate disposition of correspondence receiving, transmitting and safeguarding sensitive information.

Clearance:

Active DOE “Q” clearance.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2 . Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements

  • for access to classified matter. This position requires a Q clearance which requires US Citizenship except in extremely rare circumstances. Dependent upon position, additional authorization to access nuclear weapons information may be required that may or may not be available to dual citizens depending upon the circumstances.

  • Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. SeeDOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
