What You Will Do

The Associate Laboratory Director for Business Management (ALDBUS) is seeking an energetic, organized, and highly motivated and reliable individual who is capable of quickly changing focus, acting independently, and is comfortable with a broadly defined scope of work within the ALDBUS Office. The Administrative Assistant will professionally represent and support multiple needs within the ALDBUS organization as well as provide direct support to Associate Laboratory and the ALD office. This position requires high-level administrative support to include managing Time and Effort, processing Domestic Travel requests, reservations, and reimbursements, performing purchasing functions via LANL procurement systems, and complex calendar management.

What You Need

Minimum Job Requirements:

  • Proven abilities in providing high-level administrative support in a busy office environment, including interfacing with all levels of personnel.

  • Expert-level knowledge of and experience with computer software applications (Word, Excel, PowerPoint, Oracle, Outlook, Concur, iProcurement and Data Warehouse).

  • Excellent oral and written skills, including proofreading, grammar, spelling, punctuation, accuracy, and attention to detail.

  • Demonstrated ability to organize, prioritize, and follow-through to completion on multiple tasks, often under strict deadlines, frequent interruptions, and changing priorities.

  • Demonstrated strong interpersonal skills providing excellent and professional customer service.

  • Demonstrated ability to coordinate multiple calendars (both personal and conference room) with complex schedules.

  • Demonstrated ability working with sensitive and confidential information.

  • Ability to serve as a point of contact and resource for internal office and external agencies for established processes, procedures, and guidelines.

  • Designated Procurement Representative experience.

Desired Skills:

  • Expert knowledge of the Laboratory’s organizational structure and administrative policies, practices, and procedures.

  • Demonstrated experience serving as a key core custodian experience.

  • Demonstrated experience with process and systems for hosting external visitors, affiliate agreements, and badge requests.

  • Active Q Clearance.

Education Required: Position typically requires five or more years of related experience, or an equivalent combination of education and experience. At this level, additional training, certification, and/or education may be expected.
