What You Will Do

The Nuclear Engineering and Nonproliferation (NEN) Division Officeis seeking a reliable, self-motivated, and energetic entry level AdministrativeAssistant to provide support to the Division Office staff and members who will serveas a point of contact with visitors, officials, and management. Reporting to the Division Chief of Staff, thesuccessful candidate will have a customer-focused approach to administrativeresponsibilities and work cooperatively with staff in a very dynamic anddiverse office environment while maintaining a positive attitude andprofessional work atmosphere.

The internship will provide an opportunity to develop marketableskills in the areas of office procedures, interpersonal relations, officetechnology, office accounting, written communication, and computer applicationsto meet the demands and responsibilities of today’s workforce. It will also provide an opportunity to learnadministrative and business operations skills for a wide variety ofoffice-related activities including but not limited to:

  • Interacting frequently with representatives from outside government agencies.

  • Learning administrative and business applications (e.g., travel, procurement, Oracle Time and Labor (OTL), policies and procedures etc.)

  • Learning the administrative functions and management of an office.

  • Calendar management for staff and resources.

  • Prioritizing and tracking tasks.

  • Computer skills in MS Office Suite (Word, Excel, PowerPoint), SharePoint, Outlook, and Labwide systems (OTL, Concur, iProcurement).

  • Managing incoming and outgoing correspondence/documents.

  • Creating and maintaining spreadsheets and database files.

  • Preparing and composing documents.

  • Carry out job responsibilities with minimal supervision, demonstrating initiative, tact, and discretion with in confidence and sensitive information/matters.

  • Ensuring the office atmosphere is conducive to open communications and interactions.

What You Need

Minimum Job Requirements:

  • Basic and/or introductory knowledge of and experience in providing administrative services and activities.

  • Basic and/or introductory knowledge of and experience with office-interfacing software packages.

  • Basic skill in the preparation and formatting of correspondence, reports, and/or presentations.

  • Excellent oral and written skills, including proofreading, grammar, spelling, punctuation, accuracy, and attention to detail.

  • Excellent customer service skills.

  • Ability to effectively work in a team environment and interact with all levels of internal and external personnel, including the ability to build productive internal relationships.

  • Ability to organize and follow-through to completion on multiple tasks, often under strict deadlines, frequent interruptions, and changing priorities.

  • Ability to work with sensitive information.

Education: Applicant must be enrolled in an undergraduateprogram in Office Administration or Business Administration or related fieldwith a cumulative GPA of at least a 3.0.

The Nuclear Engineering and Nonproliferation Division (NEN) is oneof four divisions within the Associate Directorate for Threat Identificationand Response (ADTIR). NEN includes four groups consisting of approximately230 staff, including students and contractors, and executes an annual budget nearing $135M.
