What You Will Do
Come and joint the brightest minds at the most innovative R&D facility supporting our national security! Los Alamos National Laboratory is looking for two creative Professional Staff Assistant 2 positions to support centers, institutes or programs within the National Security Education Center (NSEC). The Professional Staff Assistant 2 will demonstrate initiative, professionalism, creativity, flexibility and outstanding customer service skills. You must also be an excellent problem solver, anticipating challenges or obstacles and resolving them with minimal supervision.
Specific duties include, but are not limited to the following:
Serve as a key point of contact for a National Security Education Center (NSEC) center, institute or program; communicate professionalism with customers, including graduate students, postdoctoral researchers, administrators, scientists and managers.
Support internal and external institutional collaborations and university interactions through a variety of mechanisms including meetings, seminars, workshops, conferences, visitor and guest agreements, Joint Appointment arrangements, and inter-laboratory and university subcontracts.
Research, compose, design and prepare non-routine correspondence, reports, presentations, metrics, and, special projects; interact with technical staff and editors on scientific publications; and perform other administrative duties as needed.
Act as a resource in developing and in providing input on changes to policies, processes, procedures, and guidelines related to specialized functions, organizations and/or programs.
Demonstrate flexibility and adaptability in a high-pressure office requiring occasional extended work hours and offsite travel.
Actively contribute to a collaborative team environment; working closely with other professional staff and administrators through cross-training, coaching and mentoring methods.
The National Security Education Center (NSEC) facilitates science and engineering education and research through strategic research and education centers, academic partnerships, and student focused programs. NSEC serves as an interactive hub for students, postdocs, and visiting faculty from around the world to collaborate on research and exchange ideas with Laboratory technical staff. Participants engage in specialized education and degree programs with academic partners, hands-on education and training opportunities, and the development of diverse exciting research projects. NSEC establishes regional academic collaborations through Joint Appointment programs with regional and national universities, and through a relationship with the New Mexico Consortium (NMC), a unique non-profit organization of the three New Mexico research universities formed to advance scientific research and education in New Mexico.
What You Need
Minimum Job Requirements:
Program Management Facilitation Background
Experience working cross-organizationally with a variety of personnel, internally and externally, to complete projects. Experience developing and maintaining systems to track and convey large volumes of information, to a variety of audiences, on multiple projects and tasks.. Enthusiasm to engage in the strategic planning of the assigned institute, center or programs’ projects, programs, structures and operational procedures.
Ability to leverage knowledge and experience to develop an excellent model for operating the Institute, Center or program you will be supporting. Thorough knowledge in business operations across the Laboratory, or an equivalent institution, and the ability to recommend solutions to problems affecting business. Advanced proficiency with standard business applications such as Microsoft applications, WebEx, Google Workspace, SharePoint, Adobe applications, etc. Experience with budgets will be helpful.
Ability to work with limited oversight, taking appropriate initiative, and making decisions within defined boundaries to include making recommendations to Institute and office management based on policy interpretation. Experience conducting research, analyzing problems, and successfully identifying and integrating creative ideas and solutions to enhance office productivity and efficiency to ensure customer satisfaction.
Communication and Event Management
Ability to confidently convey the capabilities of the institute, center, or program through excellent interpersonal, oral and written communication skills. Experience facilitating meetings, collaborations, and other interactions, both large and small. Experience with calendar and email management, organizing internal and external meetings and events with internal and external participants. Quality-focused, responsible for content while ensuring accuracy and attention to detail
Position typically requires a bachelor’s degree and a minimum of five years of related experience; or, an equivalent combination of directly related education and experience.
LANL Systems and Advanced Software Applications
Proficiency in multiple Laboratory-wide business systems (e.g., Oracle, Concur, Foreign Travel Systems, Visitor and Guest Agreements, Subcontracts and iProcurement, etc.); advanced knowledge of computer software applications (e.g., Microsoft applications, WebEx, Google Workspace, SharePoint, Adobe applications, etc.).
Facilities and Space Operations
Experience with research activities and/or experimental labs/facilities.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.
