Los Alamos National Laboratory Professional Staff Assistant 2 in Los Alamos, New Mexico

What You Will Do

We are looking for a motivated, diverse, customer service focused, and experienced individual to provide professional business support and respond to various assignments across the Engineered Materials Group, (MST-7) , in the Materials Science and Technology Division. The ideal candidate should be an excellent problem-solver that will anticipate challenges and obstacles, and tactfully resolve them while providing high-level professional support to MST-7 staff, group level management, and MST administrative staff. While executing your responsibilities, you will consistently maintain a professional office atmosphere; demonstrating attention to detail and accuracy, initiative, versatility, tact and confidentiality.

You will work closely with the MST Staff Operations Manager and MST Professional Staff Assistant in MST-DO in a team environment marked by close cooperation, regular communication, adaptability, and a willingness to provide support where needed. In addition, you will work closely with the FOD, waste, RCT, IH, and property support staff to ensure the group is in compliance and facility operations are on-track. You will also serve as a point of contact, resource, and role model for administrative staff in MST-7 and interface with other administrative staff across the Division. You will be a key contributor in the planning and execution of meetings and workshops organized by the group, in conjunction with the group administrative support. The selected candidate will act as an interface between the MST-DO office, as well as other LANL organizations. This position requires a motivated performer who is capable of quickly changing focus, acting independently, and is comfortable working with a broadly defined scope of work.

What You Need

Minimum Job Requirements:

  • Provide high-level support that requires knowledge of an extensive body of rules and specialized functions, such as procurement, training, property management, and meeting scheduling/logistics.

  • Demonstrated ability to organize, prioritize and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities in a dynamic and fluid working environment. Must be available, dependable, and punctual.

  • Demonstrated experience and proven record of accomplishment, understanding and implementing requirements and process improvements in an environment with a variety of complex policies and procedures.

  • Basic knowledge of facility operations, policies, and procedures.

  • Experience as a document control/records management custodian and the application of said knowledge for the management, storage, and retention of documents and records—both hard copy and electronic.

  • Expert-level knowledge and experience with Microsoft Office Suite (particularly with Outlook, Excel, and Word) and with Oracle business systems. Ability to independently interpret data and information.

  • Excellent interpersonal, verbal, and written communication skills while interacting effectively with people throughout the organization hierarchy and in partnership with internal support organizations. Grammatical proficiency, formatting, and editing capabilities is expected at this level.

  • Demonstrated mentoring and teaming skills. Utilization of tact, diplomacy, and discretion in dealing with sensitive and confidential information.


Requires a Bachelor's Degree and 5 years of related experience; or, an equivalent combination of education and experience directly related to the position

Desired Qualifications:

  • Advanced hands-on working knowledge and experience with LANL standard applications and systems, including Oracle time and effort, iProcurement (to include p-cards), Concur (Foreign and Domestic), Utrain, ChemDB, ATS, FVTS, CMS, IWDs, and RASSTI.

  • Advanced work experience with generating, maintaining, and managing training plans; experience as a training point of contact.

  • Experience as a LANL Subcontract Technical Representative (STR).

Location: This position will be physically located in Los Alamos, NM.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2 . Clearance: Q (Position will be cleared to this level). Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements

  • for access to classified matter. This position requires a Q clearance which requires US Citizenship except in extremely rare circumstances. Dependent upon position, additional authorization to access nuclear weapons information may be required that may or may not be available to dual citizens depending upon the circumstances.

  • Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. SeeDOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
