What You Will Do
The Theoretical Division is looking for a dedicated professional to join our management team as our Staff Operations Manager. The Staff Operations Manager (SOM) reports to the Division Leader and serves as a key member of the management team enabling business and operational excellence in support of the division mission. The Theoretical Division is organized into 6 groups and one center and is comprised of about 200 scientists, 120 postdocs, 150 summer students, and 16 professional support staff.
The Theoretical Division performs theoretical, analytical and computational research in all science disciplines of LANL’s mission. Pioneering research efforts in Theoretical Division currently include quantum computing, materials design, data science, Exascale computing, intelligent and quantum materials, nuclear physics, clean energy sources, Earth system modeling across scales, the constituents of matter and their interactions from (sub)nuclear to cosmic scales, health security and more.Scientific endeavors within the Theoretical Division consistently contribute creative and novel solutions to fundamental science and problems of national importance, including energy and environmental sustainability and security, stockpile stewardship, global threat reduction, and epidemiology.
The SOM is directly responsible for the day-to-day oversight and coordination of the division’s business. This includes:
Lead the development and implementation of administrative procedures and processes for the Division;
Lead and coordinate efforts that enable the effectiveness of administrative support personnel across the Division;
Manage professional support staff within the Division;
Serve as an advisor to division management and employees on operational, business and administrative matters where consistency across the division is necessary for effectiveness, efficiency, institutional compliance and cost-savings;
Ensure functions are compliant with Laboratory policies
Research, analyze, and coordinate implementation of systems and process improvement to ensure consistency, efficiency, and compliance across the Division
Support the Division management in human resources actions, approvals, contracts, travel, security plan, etc.
What You Need
Minimum Job Requirements:
Extensive knowledge/experience in, and consultative experience with, at least four of the following areas: human resources; financial management; policy implementation; administrative systems development; operational and programmatic activities related to safety, security, environmental compliance, quality, and performance assurance; strategic and tactical planning; project management; and space planning.
Expert-level organizational skills and a proven ability to independently establish priorities while working effectively under pressure, with frequent interruptions, as well as managing projects and executing complex operational and business assignments.
Demonstrated ability to work with all levels of internal and external personnel, to gain consensus, build highly functioning teams, and resolve conflicts.
Demonstrated ability to direct the administration of assigned staff by forecasting staffing requirements, directing assignments, assuring training and development, monitoring, evaluating performance, and initiating personnel actions.
Demonstrated experience leading process improvements in administrative and/or functional areas of operation.
Demonstrated experience at data collection and evaluation methods to assist in the identification and resolution of complex problems.
Education/Experience :Position requires a Bachelor’s Degree from an accredited institution and 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation.
Advanced knowledge of the Laboratory's organizational structure, policy and procedure governance and implementation.
Knowledge of the Theoretical Division mission, organization, budget portfolio, major programs and facilities
Proficiency in multiple laboratory-wide business systems to include Oracle, Time and Labor, Concur, Ariba, MicroStrategy, Performance Management, Video conferencing and computer software applications (e.g., Microsoft Office Suite).
Ability to obtain a Q clearance, which usually requires U.S. citizenship.

for access to classified matter. This position requires a Q clearance which requires US Citizenship except in extremely rare circumstances. Dependent upon position, additional authorization to access nuclear weapons information may be required that may or may not be available to dual citizens depending upon the circumstances.
Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. SeeDOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
