Engineering Technology and Design (E) Division is looking for a motivated, customer service focused and experienced Professional Staff Assistant to provide business and administrative support to the E Division Office as well as other E Division organizations.
You must be an excellent problem-solver and be able to anticipate challenges, obstacles and tactfully resolve them while providing professional administrative support to the Division Leader, Deputy Division leader, Staff Operations Manager and division staff members. While executing your responsibilities, you will consistently maintain a professional office atmosphere, demonstrating attention to detail and accuracy, initiative, versatility, tact, and confidentiality. You will work closely with the E Division Office in creating and maintaining a team environment marked by close cooperation, adaptability, and a willingness to provide support where needed while serving as a point of contact, resource, and role model for administrative staff throughout E Division. In addition, you will be expected to lead, manage, and complete projects for the division office as well as across the organization, assisting the division's Staff Operations Manager (SOM) with space management and improvement activities, division communications, and various administrative team initiatives
The Engineering Technology and Design (E) Division is the premier engineering solution provider for national security challenges that include Mechanical and Thermal Engineering, Modern Manufacturing Methodologies, Automation, Robotics and Controls, Weapons Product Definition and Advanced Engineering Analysis.
What You Need
Minimum Job Requirements:
Administrative Support
Experience providing administrative support in a busy environment requiring office management including safety, security, correspondence, records management, travel, time and effort, complex calendar management, meeting scheduling and logistics, and executing procurements. Demonstrated ability to accurately prepare and process deliverable documents. Demonstrated ability with completing action items and tracking them to closure. Utilization of tact, diplomacy, and discretion in dealing with sensitive and confidential information.
Organization and Time Management
Demonstrated ability to organize, prioritize and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities in a dynamic and fluid working environment. Demonstrated record of dependability, availability, attendance, and punctuality.
Business Systems
Knowledge and experience with Microsoft Office Suite (particularly with Outlook, Excel, PowerPoint, and Word) databases. Ability to learn and use other business systems used for personnel records, procurement, travel, financial information, etc. Ability to independently interpret data and information to produce professional products.
Communication
Excellent interpersonal, verbal, and written communication skills while interacting effectively with staff throughout the organization hierarchy and in partnership with internal support organizations. Grammatical proficiency, formatting, and editing capabilities expected at this level.
Education/Experience: Position requires a Bachelor's Degree and 2 years of related experience; or, an equivalent combination of education and experience directly related to the occupation. Undergraduate coursework may be expected at this level.
Desired Qualifications:
- Knowledge of the Laboratory's organizational structure and administrative policies, practices, and procedures.
- Experience using Oracle, Ariba, Concur, or other laboratory business systems.
- Experience working in Microsoft Teams, Webex, or other conferencing and telecommunication systems.
- Experience serving as a Designated Procurement Representative (DPR).
- Applicants must currently hold, or have the ability to obtain a Q clearance, which normally requires U.S. citizenship.
Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details
Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.
Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.
*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
