What You Will Do
The High Performance Computing (HPC) Division is looking for an experienced and customer-focused individual to join its administrative team. The successful candidate must be able to work efficiently in a complex and busy office environment and provide high-level administrative support to management and staff including support to other offices when requested. The individual must have proven success working independently and in a team environment requiring cooperation, adaptability and flexibility. Areas of responsibility include: make independent decisions in delegated areas of responsibility; serve as a resource to staff and effectively and clearly respond to requests; create and maintain electronic office records and files; calendar management; and research, interpret, practice and communicate administrative policies and procedures. Incumbent will independently process, review and track administrative forms, documents, and signature items to ensure accuracy, completeness and compliance with Laboratory policies and procedures. The position also requires executing and tracking domestic travel arrangements and reimbursements, visitor and new hire onboarding, facility service requests, time and labor reporting, and other projects and tasks as requested across HPC Division. The individual will also serve as an Alternate Key Custodian.

Minimum Job Requirements:
Demonstrated proficiency providing high-level administrative support in a complex and busy office environment and proven success showing adaptability, flexibility, cooperation and willingness to provide support wherever it is needed.
Proven ability to build effective working relationships and networks and interact professionally with all levels of employees, managers and external customers.
Proven success working effectively and calmly under pressure of multiple deadlines, frequent interruptions, and changing priorities while maintaining a high level of accuracy and attention to detail.
Experience making decisions and resolving problems both independently and as a team member using judgment, creativity and initiative to determine the approach or action to take in non-routine situations.
Excellent verbal and written communication skills, including proficiency with independently preparing, editing, formatting and proofreading correspondence and documents for accuracy, grammar, spelling, punctuation.
Experience creating and maintaining electronic files and records.
Experience with standard office software, including Microsoft Word, Excel, PowerPoint, and Outlook and with SharePoint, WebEx and/or database management.
Successfully demonstrated ability to organize, prioritize, and follow-through to completion on multiple tasks, often under strict deadlines, frequent interruptions, and changing priorities.
Education/Experience: Position requires a minimum of 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation. At this level, additional training, certification, and/or education may be desirable.
Experience with coordinating or contributing to communications projects and/or intermediate skills in communication software tools for the web, design/illustration, or other combination of skills.
Experience with LANL systems (Oracle and Concur based), including Time and Labor and Domestic Travel.
Experience with coordinating and/or executing logistical details in support of technical conferences or workshops.
Experience with LANL Key/Alternate Custodian responsibilities.
Experience with space management.
An active DOE "Q" Clearance.
Location: This position will be physically located in Los Alamos, New Mexico.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.
