What You Will Do

The Sigma Manufacturing Science Division is seeking a high-level, experienced, interactive, customer-focused Administrative Assistant 4 to provide administrative support for the two Group Offices. The position will perform complex administrative and office-related functions and activities requiring considerable judgment, high degree of initiative, independent action, and discretion.

The successful candidate must demonstrate the ability to adhere to timeliness, flexibility, as well as maintain a professional atmosphere under pressure while meeting numerous deadlines. Duties may include, but are not limited to: tracking and conveying messages; receiving and directing visitors; generating internal and external correspondence; maintaining electronic and hardcopy files; creating, publishing, and maintaining web pages; coordinating calendars, schedules, meeting logistics and travel arrangements for LANL staff, students, visitors and affiliates; managing and ordering supplies; providing support for on- and off-site meetings, conferences, workshops and educational activities; and serving as a resource for staff regarding established administrative policies and procedures.

What You Need

Minimum Job Requirements

  • Demonstrated and professional-level experience and proven competence in administrative support with particular experience in organizing and prioritizing tasks in a fast-paced environment.

  • Demonstrated proficiency in administrative skills, including word processing; editing documents with significant responsibility for content, proofreading, grammar, spelling, punctuation, consistency, accuracy, clarity and syntax; attention to detail and format; filing and record keeping.

  • Demonstrated experience working successfully both independently and in a team-based environment and interacting with all levels of managers, support staff, students, and internal and external customers.

  • Demonstrated ability to independently process, review, verify, and track projects to ensure accuracy and completion.

  • Excellent verbal (telephone / face-to-face) and written communication skills.

  • Must have an excellent record of dependability, availability, attendance and punctuality.

  • Ability to accept and perform new responsibilities as the need arises.

  • Proficiency in the use of standard office software, such as Microsoft Word, Excel, Outlook, and PowerPoint.

  • Ability to obtain a Q clearance, which normally requires US citizenship.

Desired Skills

  • Experience in the use of Lab-wide systems including: Oracle, Time and Labor, CMS, Concur, DIVA, UTrain, etc.

  • Willingness and ability to obtain and use Purchase Card for Division; experience with iProcurement; ability to serve as Designated Procurement Representative (DPR).

  • Knowledge of Laboratory structure and administrative policies and procedures.

  • Human Resources experience.

Education Required: This position requires five or more years of related experience or an equivalent combination of education and experience. At this level, additional training, certification, and/or education may be expected.

Located in northern New Mexico, Los Alamos National Laboratory (LANL) is a multidisciplinary research institution engaged in strategic science on behalf of national security. LANL enhances national security by ensuring the safety and reliability of the U.S. nuclear stockpile, developing technologies to reduce threats from weapons of mass destruction, and solving problems related to energy, environment, infrastructure, health, and global security concerns.

The Sigma Division manufactures experimental hardware and conducts basic and applied research in areas related to nuclear weapons, nuclear fuels and a variety of customers relevant to the other programs. The materials investigated and processes include, but are not limited to, uranium, ferrous alloys, refractory metals and a variety of non-metallic materials. Our goal is to provide the customer with expertise and components that meet their needs on schedule and in budget.
