ALDWP-SPM is seeking a motivated, customer-oriented, and dependable Administrative Assistant. The selected candidate will serve as the primary point of contact for the SPM-PM (Program Management) and SPM-SI (Stockpile Integration) groups. This position provides direct support to the Associate Laboratory Director and Program Directors and works in close collaboration with the PSA. The individual in this role will play a vital part in supporting both management and staff. The successful candidate must be able to operate with minimal supervision, adjust to changing priorities and deadlines, and proactively anticipate and respond to leadership needs.
- Manage complex and dynamic calendars for Program Directors, exercising sound judgment in scheduling, prioritization, and conflict resolution.
- Maintain comprehensive office records and independently process, review, verify, and track administrative data to ensure accuracy, completeness, and compliance.
- Perform a broad range of administrative functions, including coordination of domestic and international travel, procurement and office supply orders, time and labor processing, office and laboratory space coordination, and conference room scheduling as needed.
- Provide support for high-level visits and visitor onboarding by preparing required documentation, coordinating badge appointments and clearance transfers, and arranging transportation services, including taxi requests.
What You Need
Minimum Job Requirements:
- Demonstrated experience providing high-level administrative support within a fast-paced, dynamic office environment.
- Excellent oral, written and interpersonal communication skills, including proofreading, grammar, spelling, punctuation, accuracy, and attention to detail.
- Proven ability to organize, prioritize, and successfully complete multiple assignments under tight deadlines, frequent interruptions, and shifting priorities.
- Demonstrated expertise in managing and coordinating complex schedules, including multiple executive and conference room calendars.
- Ability to carry out job responsibilities with minimal supervision, demonstrating initiative, tact, and discretion with confidence.
- Ability to effectively interact in a team environment and interact with all levels of management, customers, internal and external personnel.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and related business applications.
- Excellent record of professional behavior, dependability, availability, and punctuality.
- Ability to obtain Q-clearance, which normally requires U.S. Citizenship
Education/Experience: Position requires a High School Diploma and 3 years related experience; or an
equivalent combination of education and experience directly related to the occupation.
Desired Qualifications:
- Ability to network with senior internal and external personnel, building relationships across organizations and managing routine contacts on general matters outside of the immediate organization.
- The desire to learn and take on increasing responsibility.

Work Location: The work location for this position is onsite and located in Los Alamos, NM.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. Additional Details
Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.
Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.
*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
