The Materials Management Specialist 1 supports the Receiving Team within the Materials Management Group (LOG-MM). This position assists with the coordination, acceptance, processing, and staging of shipments for distribution across the Laboratory. The role ensures that incoming materials are received accurately, documented properly, and handled in compliance with institutional policies, safety standards, and regulatory requirements. Working under the direct supervision of the Receiving Team Leader, the Specialist contributes to operational continuity by supporting daily receiving functions and assisting during peak workload periods.
Key Responsibilities include:
- Accept, inspect, and process incoming shipments including purchase orders, purchase card transactions, name-only packages, and ORACLE BOAs.
- Verify shipment accuracy against purchase documentation and system records.
- Stage materials appropriately for distribution to internal customers.
- Assist with physical handling of materials during high-volume operations.
- Maintain accurate data entry and documentation within LANL enterprise systems (e.g., Oracle and related operating systems).
- Ensure compliance with hazardous material handling requirements and applicable regulations.
- Coordinate with internal customers, vendors, and logistics personnel to resolve discrepancies.
- Support audit readiness through proper documentation and records management.
- Follow and implement LANL institutional policies, safety procedures, and quality standards.
- Promote a safe, secure, and environmentally responsible work environment.
- Participate in required training and occasional travel as needed.
What You Need
Minimum Job Requirements:
Knowledge of warehouse and receiving operations.
Basic understanding of hazardous material regulations and safe handling practices.
Strong written and verbal communication skills.
Ability to interact professionally with all levels of personnel and customers.
Experience with data entry, record maintenance, filing systems, and professional correspondence.
Strong organizational skills with the ability to prioritize tasks and meet deadlines.

Ability to obtain and maintain a Q Clearance.
Education: Position requires a minimum of 2 years related experience, or an equivalent combination of education and experience.
Desired Qualifications:
- Working knowledge of LOG-MM Receiving processes and procedures.
- Familiarity with LANL operational and administrative policies.
- Knowledge of LANL facilities and site operations.
- Experience using Oracle, Gemini, Take Supply, or other LANL-based systems.
- Active Q Clearance.

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.
*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
Term position: Regular-status Laboratory employees applying for term-status positions may retain regular status with approval of the cognizant Principle Associate Director.
