The Controller Division is seeking a highly motivated, energetic, and customer-focused Accounting Assistant 4 to join the Travel and Relocation (CNTL-TAR) Group. Reporting to the Travel Manager, this role is responsible for coordinating and managing domestic and international travel reservations while ensuring compliance with all travel policies and regulations. The ideal candidate is detail-oriented, service-driven, and thrives in a fast-paced environment where priorities may shift.

Key Responsibilities:
  • Serve as the primary point of contact for employees regarding travel reservations, itineraries, and booking policies.
  • Assist travelers in booking flights, lodging, rental cars, and conference travel using the Concur Travel System.
  • Review and confirm travel reservations for accuracy and compliance with organizational policies and federal regulations.
  • Provide timely updates on travel itineraries, schedule changes, and reservation status.
  • Resolve complex or non-routine travel booking issues by coordinating with airlines, hotels, rental agencies, and travel service providers.
  • Support the Travel Office by answering calls, routing inquiries, and helping the team achieve performance goals.
  • Educate and train travelers on booking tools, policies, and procedures to ensure efficient and compliant travel planning.
  • Maintain flexibility in work schedule to meet customer and organizational needs.

What You Need

Minimum Job Requirements:

Travel & Booking Knowledge
  • Strong background in travel reservations, booking systems, or travel-related financial processes.
  • Demonstrated ability to interpret and apply a wide range of travel policies and procedures in a large organization.

Customer Service Excellence
  • Proven track record of providing high-level customer support with tact, discretion, and professionalism.
  • Strong interpersonal skills to effectively interact with employees at all levels, as well as visitors and management.
  • Collaborative team player with a customer-first mindset.

Organizational Skills
  • Ability to manage multiple travel requests and deadlines while adapting to frequent interruptions or changing requirements.
  • Strong attention to detail with the ability to independently analyze and resolve travel booking challenges.

Education/Experience:

Position requires a minimum of 3 years' related experience; or an equivalent combination of education and experience directly related to the occupation. At this level, additional training, certification, and/or education may be expected, such as college level business courses.

Desired Qualifications:
  • Familiarity with LANL systems, including Concur and the Foreign Travel System.
  • Knowledge of laboratory administrative policies and structure.
  • In-depth understanding of LANL travel regulations and procedures.
  • Proficiency with Oracle, Microsoft Word, Excel, and standard office tools.

Work Location: The work location for this position is telework and is located in Los Alamos. Telework is defined as working from offsite but within 2hours ground commute of this location. Reporting onsite may be periodically necessary. All work locations are at the discretion of management and can change at any time with appropriate notice.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. No Clearance: Position does not require a security clearance. Selected candidates will be subject to drug testing and other pre-employment background checks.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
