The Maintenance and Site Services (MSS) Division provides safe, reliable, and efficient infrastructure maintenance and utilities support across Los Alamos National Laboratory. MSS-APT supports this mission by leveraging enterprise asset management (EAM/CMMS), predictive maintenance technologies, and building automation systems to improve equipment reliability, operational efficiency, and data-driven decision making.
The Maintenance Systems Support Specialist serves as a key field-facing resource supporting the effective use of maintenance systems, including Asset Suite and Mobile Work Package (MWP). This role works directly with Facility Operations Directorates (FODs) and maintenance personnel to support system use in real-world environments, provide hands-on training, and ensure maintenance processes are accurately reflected in system workflows.
This position combines customer support, field engagement, and process documentation to help ensure maintenance programs are effectively implemented, supported by accurate data, and continuously improved.
Primary Responsibilities Include:
- Provide day-to-day customer support for Asset Suite and Mobile Work Package (MWP) users, including troubleshooting issues and guiding users in system use
- Support and maintain the MWP tablet fleet, including device setup, tracking, basic troubleshooting, and coordination of repair or replacement
- Travel to field locations to observe maintenance workflows, provide hands-on support, and deliver informal, on-the-spot training to users
- Assist in training maintenance personnel on system use, maintenance processes, and best practices for data entry and work execution
- Gather user feedback and document operational challenges, system gaps, and inefficiencies observed in the field
- Translate user feedback into clearly documented issues, enhancement requests, or basic system requirements for coordination with EAM and IT teams
- Assist in the implementation and improvement of maintenance-related processes within enterprise systems by supporting activities such as:
- capturing user needs
- assisting with configuration or setup efforts
- supporting testing and validation of system updates
- Develop and maintain documentation such as process flows, job aids, user guides, and workflow diagrams to reflect actual field practices
- Support maintenance of system data and program elements, including asset records, maintenance activities, and related tracking information
- Assist in monitoring and improving data quality, consistency, and completeness within maintenance systems
- Identify recurring issues and contribute to process and system improvements by recommending practical, user-informed solutions
- Coordinate with EAM teams, IT, cybersecurity, and other stakeholders to resolve issues and support system enhancements
- Ensure compliance with institutional cybersecurity, records management, and operational requirements
Minimum Job Requirements:
Customer Service & Communication:
- Demonstrated ability to provide responsive, professional support to both technical and non-technical users. Strong interpersonal skills and ability to work effectively with maintenance personnel, engineers, and cross-organizational teams.
- Familiarity with maintenance management processes and systems such as CMMS/EAM platforms.
- Ability to understand how maintenance work is executed and documented within systems and how users interact with those systems in daily operations.
- Experience supporting or contributing to process improvements by identifying issues, gathering input, and assisting with implementation of changes.
- Proficiency with standard business applications (e.g., Excel, SharePoint) and mobile devices (phones, tablets).
- Ability to track requests, maintain inventories, and support accurate data entry and documentation within
- Ability and willingness to work in field environments to observe operations, support users, and provide hands-on assistance and training.
- Experience troubleshooting mobile applications and coordinating issue resolution.
Desired Qualifications:
- Direct experience supporting Asset Suite and/or Mobile Work Package (MWP)
- Experience supporting and maintaining a mobile device fleet, including basic troubleshooting of tablets and mobile applications
- Familiarity with inventory or asset tracking systems, including experience maintaining device or equipment inventories
- Experience supporting or maintaining a Master Equipment List (MEL) or similar asset hierarchy within a CMMS/EAM system
- Familiarity with preventive maintenance (PM) programs, including supporting PM setup, updates, or execution tracking
- Exposure to supporting the implementation or improvement of business processes within IT systems, including assisting with requirements gathering, system updates, or testing activities
- Experience providing informal or structured training to end users in operational environments
- Experience documenting workflows, process flows, or operational procedures based on real-world practices
- Experience working in a field-facing support role with direct interaction with maintenance or operations personnel
- Familiarity with LANL facility operations or Facility Operations Directorates (FODs)
- Experience working across organizations to coordinate issue resolution and improvements
- Active Q clearance
Work Environment:
Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. Clearance: Q (Position will be cleared to this level). This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. *Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law.
