This position is for an Operations and Maintenance Coordinator 2 within the Process Maintenance & Decontamination Services Group (PMDS). This role provides centralized coordination of Facility Service Requests (FSRs), Programmatic Maintenance Requests (PMRs), corrective maintenance, and preventive maintenance activities. The position supports work control processes from request intake through work package closeout, archiving, reporting, and preventive maintenance execution readiness.
The Operations and Maintenance Coordinator ensures data accuracy across Asset Suite CMMS, Footprints, SharePoint, MicroStrategy, and internal backlog tracking tools while maintaining compliance with Laboratory maintenance and work authorization requirements.
Duties for this position include, but are not limited to:
- Coordinate and manage Facility Service Requests (FSRs), Programmatic Maintenance Requests (PMRs), corrective maintenance activities, and preventive maintenance activities from intake through closeout, including the scheduling and coordination with external organizations.
- Create, update, and maintain work orders, backlog records, and maintenance data across Asset Suite CMMS, Footprints, SharePoint, and internal tracking systems.
- Perform quality assurance reviews of work packages to ensure documentation completeness, technical accuracy, required approvals, and compliance with Laboratory requirements.
- Support preventive maintenance program execution by assembling work packages, coordinating schedules, generating PM look-ahead reports, and tracking execution status.
- Maintain and update preventive maintenance models, PMIDs, equipment lists, Attachment A documentation, cost codes, and related technical records.
- Monitor maintenance backlogs and authorization expirations, perform backlog validation activities, and coordinate planning, engineering, and work execution teams to resolve issues.
- Generate maintenance performance reports and provide status updates to management and operational stakeholders.
- Process work package closeouts, ensure proper archival of records, and support document control and retrieval activities.

What You Need
Minimum Job Requirements:
Strategic Communication:
Ability to professionally communicate maintenance status, work coordination requirements, and schedule execution information with engineering, operations, management, internal teams, and external organizations.
Scheduling & Execution Readiness:
Demonstrated ability to understand and support T-Week scheduling processes, including coordinating maintenance activities from planning through schedule freeze, execution, and post-work review. Ability to track work readiness, identify conflicts, and support on-time delivery of scheduled work.
Technical Systems Proficiency:
Experience using computerized maintenance and work management systems (such as Asset Suite CMMS, Footprints, and SharePoint) to create, update, track, and close work orders and maintenance records with accuracy.
Work Control & Process Knowledge:
Understanding of maintenance workflow processes including work request intake, backlog management, work package lifecycle management, documentation control, and closeout requirements.
Maintenance Program Support:
Working knowledge of preventive and corrective maintenance program support, including coordination of work execution, documentation requirements, and quality assurance of work packages.
Business Tools & Reporting:
Proficiency with personal computer applications and site-licensed tools used to generate reports, track performance metrics, and maintain maintenance records.
Education/Experience: Position requires a bachelor's degree in a relevant field and three years of related experience, or an equivalent combination of relevant education and related experience.
Desired Qualifications:
- Active Q Clearance or ability to obtain and maintain one.
- Experience coordinating maintenance activities with multiple internal organizations and external service providers in a regulated or mission-critical environment.
- Advanced experience using Asset Suite CMMS, MicroStrategy, SharePoint, or similar enterprise maintenance and reporting systems.
- Demonstrated experience supporting T-Week or outage-based scheduling environments, including participation in schedule meetings, readiness reviews, and daily execution briefs.
- Experience developing or maintaining preventive maintenance models, PMIDs, Attachment A documentation, and equipment records.
- Proven ability to identify process improvement opportunities and implement workflow efficiencies within work control or maintenance management systems.
Work Environment:
Work Schedule: This position may require 24/7 coverage, which could involve working a shift/weekend schedule. Employees maybe eligible for shift differential pay when assigned by their manager. Shift/weekend assignments are at the discretion of the manager.
Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details
Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. *Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
