Advanced Sources Detector Project Office (ASD-PO) is seeking a customer-focused and experienced individual to provide professional level support to the project. As a Professional Staff Assistant (PSA) in our office, you will be responsible for providing support in areas such as administration, communications, purchasing, security, calendar management, space planning, meeting and event/project review planning, amongst other duties. The individual in this Professional Staff Assistant (PSA) role will maintain a professional office atmosphere and assume responsibility with moderate supervision, demonstrating accuracy and attention to detail, initiative, versatility, tact, and confidentiality in all matters. Conducts analysis, design, and/or implementation of ASD specific business, operational, and/or programmatic-related initiatives to promote and ensure organizational objectives. The successful candidate must be a motivated performer capable of quickly changing focus, acting independently, and comfortable with a broadly defined scope of work. Work is conducted in a busy, fast-paced team environment that requires close cooperation, adaptability, taking initiative in completing tasks, and a willingness to provide support where needed. The project office customers extend beyond LANL to other partner sites (LLNL, SNL, and NNSS) that are coordinating along with LANL on the Scorpius project. It is imperative the individual is supportive of the teaming environment.
This position will be filled at either the Professional Staff Assistant 1 or 2 level, depending on the skills of the selected candidate. Additional job responsibilities will be assigned if the candidate is hired at the higher level.

Administrative and Project Support
Experience providing high-level administrative and project management support in a fast-paced, busy environment. Experience assisting with solving problems, implementing solutions, and innovating business practices to ensure customer satisfaction at all levels. Experience with Oracle actions for non-lab contingents, running Utrain training reports, managing Outlook calendars (scheduling/deconflicting). The ability to quickly learn the Laboratory's organizational structure and policies, practices, and procedures specific to ASD. Excellent customer service skills. Experience with logistics of scheduling interviews. Experience with drafting agendas, recording and transcribing meeting minutes. Experience coordinating celebrations/events/project reviews (service anniversaries, retirement, kick-off events, etc.). Experience with Ariba and DPR responsibilities, policies, etc.
Organization and Time Management
Demonstrated ability to organize, prioritize and follow-through to completion for multiple tasks, often under strict deadlines, with interruptions, and changing priorities in a dynamic and fluid working environment. Experience working with sensitive personnel related information. Demonstrated record of dependability, availability, attendance and punctuality.
Business Systems
Demonstrated basic knowledge and experience with Microsoft Office 365 (Excel, Word, PowerPoint, Teams, etc.). Ability to conduct research and assemble data for assigned projects related to specialized functions, organizations, and/or programs for issues of moderately complex scope where analysis of situations or data requires a review of a variety of factors. The ability to quickly obtain proficiency in multiple Laboratory-wide business systems (e.g., Oracle, Concur, Foreign Travel Systems, Ariba, AskHR, Utrain, LANLShip, etc.).
Communication
Excellent interpersonal, verbal, and written communication skills. Demonstrated record of interacting effectively and professionally with people throughout the organization hierarchy and in partnership with internal support organizations to complete projects. Proven record of
building and maintaining effective working relationships with all levels of staff both within and external to LANL; including customers and stakeholders, and partner sites (LLNL, SNL, NNSS, and NNSA). Knowledge of the LANL organizational structure and external sponsors who LANL works with. Grammatical proficiency, formatting, and editing capabilities expected at this level. Experience with formatting correspondence, letters, memos, correspondence number and log, distribution when requested.
Personal Leadership
Demonstrated ability to calmly manage interruptions and changing priorities; to complete assignments, and be available and dependable. Demonstrated ability and willingness to team with others and to work in a highly collaborative environment. Given the nature of the ASD project office and its lead on the Scorpius project, a multi-partner collaboration (LLNL, SNL, and NNSS) it is imperative the selected candidate will be committed to contributing and supporting the group, internal and external customers; customer service base is expansive.
Additional requirements for Professional Staff Assistant 2
Knowledge of governmental regulations and potential environmental impacts related to the assigned areas specialized functions. Skill and experience in conducting research, investigating alternatives, and recommending solutions on problems affecting business operational, and/or programmatic oversight of the assigned areas specialized functions. Skill and experience in the preparation of reports, including specialized reports related to the assigned areas functions. Ability to work with sensitive information and/or classified matter. Ability to interact effectively with all levels of internal and external personnel, including networking with senior internal and external personnel.
Education
PSA 1: Position requires a Bachelor's Degree and 2 years related experience; or, an equivalent combination of education and experience directly related to the occupation.
PSA 2: Position requires a Bachelor's Degree and 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation.
Desired Qualifications:
Proficiency with multiple Laboratory-wide business systems including: Oracle, Concur, Foreign Travel Systems, Ariba, AskHR, Utrain, and LANLShip.
An active Q clearance.
Work Environment:
Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details
Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.
*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
