What You Will Do

Supply Chain & Logistics seeks a highly motivated, customer service focused, and experienced individual to provide professional business and administrative support to the Procurement Engineering & Acquisition Management (SCL-1) group. The selected candidate will report to the Staff Operations Manager as well as to the Group Leader of SCL-1.

The Professional Staff Assistant is a key role. The selected candidate will consistently demonstrate outstanding customer service skills, adaptability to change, attention to detail, accuracy, initiative, confidentiality, tact, and resilience. You will work closely to maintain a team environment marked by cooperation, collaboration, a willingness to provide support in the areas of human resources, group initiatives, and overall business needs. The successful candidate must be capable of changing focus quickly, acting independently, and comfortable with a broadly defined scope of work. Work is conducted in a busy, fast-paced environment.

Job duties include, but are not limited to the following:

  • Creating and maintaining a staffing plan for fiscal year, working with management to have job ads created, pulling resumes, creating matrices, working with applicants to set-up interviews and participating in interviews, calling references, and entering hiring information into Oracle.
  • Development of special reports, metrics, and presentations, high-level correspondence, meeting agendas and other documentation.
  • Management of administrative projects and ad hoc requests.
  • Manage group award distributions to include assisting with preparation of nomination justifications.
  • Researching and analyzing issues and independently identifying creative solutions to enhance office/group productivity.

What You Need

  • Education/Experience: Position requires a Bachelor's Degree and 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation.
    • Undergraduate coursework is typically expected at this level.


  • Professional level Administrative Support:
    • Advanced experience with providing expert-level support to management teams and maintaining a professional office atmosphere.
    • Experience performing professional level support with minimal supervision, demonstrating accuracy and attention to detail, initiative, versatility, tact, and confidentiality in all matters.
  • Leadership:
    • Demonstrated leadership, mentoring, and teaming skills, and administrative leadership utilizing tact, diplomacy, and discretion in dealing with sensitive and confidential information.
    • Lead administrative activities by recognizing, researching, and implementing business process improvements; leading administrative support team in business initiatives, establish administrative systems and processes, and engage in periodic organizational objectives meeting initiatives and milestones.
  • Problem Solving:
    • Advanced experience with solving problems, developing solutions, and innovating business practices to ensure customer satisfaction.
    • Strong analytical skills and ability to be flexible are required.
  • Communication:
    • Demonstrated exceptional written and oral communication skills, with demonstrated professionalism in interactions with various high-level stakeholders and a record of dealing effectively with conflict.
    • Must be extremely comfortable interacting via phone, email and in person.
    • Strong editing/proofing skills are required.
  • Business Systems:
    • Advanced knowledge of and experience with standard software, e.g., MS Office, including management of required software for specialized functions, organizations, and/or programs.
  • Special Projects:
    • Experience participating and leading special projects; and serving as a resource for staff and managers regarding established policies and procedures.
    • Experience conducting research and assembling data for assigned reports, presentations, and/or planning documents.
    • Experience assisting in the analysis, design, and implementation of business, operational, and/or programmatic initiatives to ensure organizational objectives.
    • Experience participating in interviews, creating hiring matrices, providing input to interview questions, and collecting and assembling hiring package documentation.


Desired Qualifications:

  • Proficiency with SharePoint.
  • Experience creating staffing plans.
  • Space Management Experience.
  • Designated Procurement Representative (DPR) or purchasing experience.
  • Familiarity with the Laboratory organizational structure, administrative policies, and procedures.
  • Working knowledge and familiarity with the Operational Readiness Implementation Division and its mission.
  • An active DOE Q-level clearance.


Work Location: The work location for this position is hybrid and has locations in Los Alamos and Santa Fe, New Mexico. Hybrid is defined as working partially onsite (up to 80%)/partially offsite within a 2-hour ground commute to LANL's main campus in Los Alamos, New Mexico. All work locations are at the discretion of management and can change at any time with appropriate notice.

Work Schedule: This position may/will require 24/7 coverage, which could/will involve working a shift/weekend schedule. Employees may be eligible for the shift differential pay when assigned by their manager. Shift/weekend assignments are at the discretion of the manager.

Position Commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2: Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular Position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
