Work Management Center Specialist (Project Specialist 2/3)

What You Will Do

The Work Management Center Specialist (Project Specialist 2/3) supports the Manager of Projects, Project Manager, and Integrated Project Team (IPT) in executing construction program objectives within the ALDPI Work Management Center (WMC). This role provides coordination, oversight, and lifecycle control of Integrated Work Documents (IWDs) to ensure safe, compliant, and execution-ready work.

You will serve as a key interface between Work Control, Construction, and Project Leadership to ensure alignment between work packages and field execution activities.

In this role, you will maintain disciplined control of work packages from initiation through closeout, ensuring accuracy, traceability, and compliance with institutional requirements while supporting efficient field execution.

Key responsibilities include:

  • Coordinating execution and closeout of construction work packages within the WMC
  • Managing IWD lifecycle control, including tracking, intake review, check-in/check-out, and status alignment using APEX and WMC systems
  • Performing quality assurance reviews to verify scope completion, required documentation, permits, and signature completeness
  • Reconciling system records with physical work packages to maintain configuration control and traceability
  • Supporting IWD closeout, including deficiency identification, document preparation, and archival in Asset Suite and EDRMS
  • Utilizing enterprise systems (APEX, Asset Suite, MicroStrategy, SharePoint) to track work package status and maintain accurate records
  • Supporting reporting of execution status and operational tracking for leadership visibility
  • Communicating with stakeholders to resolve issues and maintain workflow continuity
  • Supporting coordination across construction and work control functions
  • Contributing to process improvements, audit readiness, and standardization of WMC workflows

Project Specialist 2 ($72,800-$115,400)
The Work Management Specialist 2 provides execution and coordination support within the Work Management Center.

Responsibilities include:

  • Performing work package tracking, intake checks, and system updates (APEX)
  • Supporting IWD control activities, including check-in/check-out and documentation verification
  • Conducting routine QA checks of work packages under supervision
  • Maintaining accurate records and ensuring documentation completeness
  • Communicating routine updates and escalating issues as needed
  • This level operates under general supervision and focuses on developing proficiency in work control, document management, and construction execution support.

Additional Responsibilities Level 3- Project Specialist 3 ($87,800-$143,000)
The Work Management Specialist 3 supports the Project Manager and IPT in executing project objectives and maintaining operational control of work packages within the WMC.

Responsibilities include:

  • Coordinating work package execution and closeout activities
  • Providing advanced oversight of IWD lifecycle management, including QA, reconciliation, and closeout
  • Supporting performance reporting and operational tracking for leadership visibility
  • Identifying process gaps and coordinating resolution with stakeholders
  • Representing the Project Manager in coordination activities, as delegated
  • Contributing to workflow improvements and operational efficiency within the WMC

What You Need

Minimum Job Requirements:
  • Knowledge of construction work execution processes and work control practices
  • Experience with document control, work package management, or similar operational support functions
  • Ability to ensure accuracy, completeness, and compliance of technical and procedural documentation
  • Experience performing quality assurance or verification checks on documentation and records
  • Ability to track, reconcile, and maintain alignment between electronic systems and physical records
  • Demonstrated ability to identify discrepancies, document deficiencies, and support resolution with stakeholders
  • Experience using digital systems and databases to track work status and maintain records (e.g., APEX, Asset Suite, or similar systems)
  • Ability to independently gather, organize, and analyze information to support operational activities
  • Effective oral and written communication skills for coordinating with construction, work control, and project personnel
  • Working knowledge of configuration control and records management practices

Additional Job Requirements for Level 3

  • Experience working within a Work Management Center (WMC) or similar construction execution environment
  • Familiarity with Integrated Work Documents (IWDs) or equivalent work package systems
  • Experience with APEX, Asset Suite, MicroStrategy, or similar enterprise systems
  • Knowledge of records management and document archival systems (e.g., EDRMS, SharePoint)
  • Experience supporting audit readiness, compliance, or regulated work environmentsSkill in oral and written communication.
  • Skill in applying team building concepts.

Education/Experience at lower level:

  • Level 2 - This position is expected to be at an entry level in construction-related fields. Three or more years of construction or engineering related experience required.

Education/Experience at higher level:

  • Level 3 - Five or more years of construction or engineering related experience required.

Desired Qualifications:
  • Experience supporting work package closeout, including document validation, deficiency identification, and records archival
  • Experience developing or improving document control processes, workflows, or tracking tools to enhance operational efficiency
  • Experience generating or supporting operational reporting (e.g., daily status, shift turnover, or performance tracking)
  • Strong attention to detail with the ability to manage high-volume, time-sensitive documentation in an execution environment
  • Experience coordinating with construction field teams, superintendents, or work control organizations to resolve documentation issues
  • Demonstrated ability to operate effectively in a fast-paced, execution-focused environment with competing priorities

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Clearance: Q (Position will be cleared to this level).
