The Workplace Experience - Furniture, Amenities, and Space Team (WE-FAST) is seeking an energetic, organized, and customer-focused Operations Specialist to support our team. In this role, you will also assist with the day-to-day operations of LANL's food service program and custodial subcontract oversight, providing direct support to the project leader. This role will assist with all aspects of subcontractor management, small purchases, coordination of vendor schedules, assist with management of facility service requests, serve as an Administrative Subcontract Technical Representative (AdSTR), and more. Job Duties:
  • Assist with monitoring and managing daily operational activities for food service and custodial teams.
  • Assist with the development of detailed plans to manage processes, scope, quality, efficiency, risk to deliverables, communications, and professional responsibility for food service and custodial teams.
  • Coordinate food service and custodial activities outside of the day-to-day operations with internal customers to ensure timely project execution and clear understanding of all project expectations.
  • Develop and implement a routine communication plan across the Facility Operations Directors (FODs).
  • Assist with on-boarding new subcontractors, badging, and ongoing training requirements.
  • Assist with subcontractor meetings, scheduling, agenda preparation, note taking and post meeting follow-up.
  • Assist with institutional administrative processes: Project and Activity Review (PAR) requests, impediment plans, facility service requests, and coordination of equipment repairs.
  • Troubleshoot daily operational issues and recommend solutions with food service and custodial teams.
  • Track performance metrics and prepare operational reports. Ensure compliance with contract documents.


What You Need

Minimum Job Requirements:

Operational Support:
Proven experience in a successful administrative or operational support role. Experience providing high-level customer service with a pro-active, can-do attitude. Proven ability to effectively communicate complex information across diverse audiences, coupled with exceptional interpersonal, written communication and verbal skills for interaction with customers, staff, senior management, and stakeholders.

Communication:
Demonstrated ability to resolve problems independently and as part of a team. Excellent interpersonal, written and verbal communications skills and the ability to interact efficiently with all levels of personnel and customers.

Organization & Time Management:
Strong organizational skills and attention to detail. Demonstrated ability to take initiative, independently prioritize and manage multiple concurrent responsibilities, and contribute meaningfully to overall team goals. Ability to work independently and collaboratively.

Education/Experience: Position requires an Associate's Degree and 4 years of related experience; or, an equivalent combination of education and experience directly related to the occupation.

Desired Qualifications:

  • Previous experience working with or managing subcontractors/external vendors.
  • Knowledge of or experience with the hospitality industry.

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position Commitment:
Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular Position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
